Two tracks · Live in 5 or 10 days

Your Customer Agent is already there. Let's switch it on.

Most Customer Agent trials stall in the same place: nobody scoped the use case, approved the knowledge, or worked out what the credits would cost. We do all three and get one real use case live, in as little as a week.

What this is

An activation service, not an implementation

There is no hub to build here. You already have Service Hub, a connected channel, and Customer Agent in the portal. What is missing is a use case worth automating, knowledge the agent is allowed to answer from, a tested handoff, and a credible answer to what it will cost to run. That is the whole job.

Already yours

Nothing new to buy

You already hold Customer Agent. This activates what is sitting in your portal, so there is no hub build and no new licence in the way.

Fast

Live in days, not months

From kickoff to a live agent in 5 or 10 business days. You watch it answer real questions before you sign off.

Predictable

Credits forecast before you switch on

You see a predicted consumption range for an agreed starting cohort, then the actual number 24 hours later. No guessing.

How activation runs

Six steps, and step four is the one most trials never reach

A stalled trial is almost never a product problem. It is a customer who was left at the planning stage without a number they trusted. So the sequence ends in activation and evidence, not a proposal.

  1. 01

    Reassure on the controls

Review-before-sending, restricted topics, a bounded cohort, and a named human on every exception. We show the protections before we show the forecast.

  2. 02

    Show the predicted consumption

A credit range for your specific starting point, checked against the pool you already hold, so the number is yours and not a generic estimate.

  3. 03

    Agree a sensible first cohort

One use case, one channel, a defined slice of work. Small enough to be safe, real enough to be worth reading.

  4. 04The step trials miss

Activate, rather than stop at planning

The step most trials never reach. We activate on the scope you approved, with your named approver on record.

  5. 05

Review actual usage at 24 hours

Predicted credits against billed credits, plus the output, escalations, and gaps from the first day. Adjust or stop, on evidence.

  6. 06

Run a week, then decide how far

Long enough to see return rather than theory. At day 7 we reconcile what it produced against what it consumed, and you choose whether to widen it.

Activation
Readiness and access check
We confirm the agent is available on your account, that permissions and the deployment channel are in place, and that there is enough credit capacity for the agreed cohort.
One support use case scoped
One recurring support job with a clear audience, a clear acceptable answer, and a named owner. Narrow on purpose, so you can tell whether it worked.
Approved knowledge set and gap list
We inventory the sources the agent may answer from, confirm they are approved for customer-facing use, and write up what is missing.
30-question answer test
Common, ambiguous, sensitive, and out-of-scope questions run against the approved knowledge, with the answer and its source recorded for each one.
Human handoff designed and tested
Escalation topics, routing, working hours, the named owner, and the visitor-facing message, all proven before anything reaches a customer.
Credit forecast and starting cohort
A predicted consumption range for the agreed cohort, checked against your remaining credit pool, so activation is a decision rather than a gamble.
Proof it worked
Activation on the approved scope
We activate against the cohort you approved, not the whole install base, so the first week is observable and reversible.
24-hour consumption and quality review
Predicted credits compared against actual billed usage, plus the conversations, escalations, and knowledge gaps from the first day.
Day 7 value and credit reconciliation
Resolved conversations reconciled after HubSpot's evaluation window, with observed credit use and what the agent actually deflected.
Team training
We train your team to review conversations, close knowledge gaps, and read what the agent is doing.

Knowledge gap remediation (up to 10 articles)

Who it's for

A perfect fit if

  • You started a Customer Agent trial and it stalled before it was really switched on
  • You are live but the agent handles a trickle, and credit usage never moved
  • One recurring support job with a clear, agreed right answer
  • Help content that already exists and is approved for customers to read
  • Someone named who owns the escalations the agent cannot handle
Before we start

What needs to be true

  • Customer Agent already available on your account, in trial or dormant
  • A named admin available for the kickoff call and responsive throughout
  • One eligible text-based channel already connected, live chat or a shared inbox
  • Existing help content approved for customer-facing use
  • A named handoff owner with working hours and routing agreed
  • Enough HubSpot credits for the agreed starting cohort, and agreement on the run limit we set
A note on credits: HubSpot's product catalog lists 50 credits for one resolved Customer Agent conversation on text-based channels, and resolution is evaluated 72 hours after the last visitor response. Until you buy a HubSpot Credits capacity pack you cannot overspend: when the included credits are used up, usage-based features pause rather than bill. Once a pack is bought there is no ceiling, because HubSpot's default is to auto-upgrade to a larger pack for the remainder of the term. That is why we forecast a range for a bounded cohort, keep the first cohort small, and reconcile against billed usage at 24 hours and again at day 7.
Scope

What's not included

This is deliberately one job done properly, so the timeline and the price stay fixed. Anything beyond it is quoted separately rather than bundled in quietly.

  • HubSpot subscriptions, seats, or credits
  • Service Hub implementation or help desk setup
  • Full CRM or help desk migration
  • Writing your help content from scratch
  • More than one use case or channel
  • Custom agent actions or integrations
  • Voice or multilingual deployment
  • Multi-brand or multi-region rollout
  • Ongoing support after the day 7 review
  • A guaranteed deflection rate or ROI

Need a Service Hub build underneath it? That is a full onboarding engagement, priced on our HubSpot onboarding pricing.

Common questions

The boundaries, in plain language

Our Customer Agent trial stalled. Is that a fit?

That is the main case this is built for. Most stalled trials are not a product problem, they are an activation problem: nobody scoped a use case, approved the knowledge, tested the answers, or forecast the credits. We do those four things and then switch it on.

Do we need a Service Hub implementation first?

No. This is a standalone activation service. It assumes you already have Service Hub and one connected text channel, which you do if Customer Agent is available on your account. If a hub build really is missing, that is a separate onboarding engagement and we will tell you so at the readiness check rather than bill it into this.

How are HubSpot credits counted?

HubSpot's product catalog lists 50 credits for one resolved Customer Agent conversation on text-based channels, which HubSpot prices at $0.50. Resolution is evaluated and locked 72 hours after the last visitor response, so early activity and settled usage are never the same number. Two details catch teams out. A conversation counts as resolved when the agent shared a source or performed an action and no visitor-initiated handoff happened inside that window, so your rep quietly picking the conversation up does not stop it counting. And once the 72 hours pass, later messages or negative feedback do not change the status.

Can you cap what we spend on credits?

Not as a hard ceiling, and anyone who tells you otherwise is overselling. HubSpot provides a monthly agent run limit and shows estimated credit costs in its agent builder, but it states those estimates can vary from actual cost, and there is no automatic shutoff. What we can do is size the starting cohort so the exposure is small and knowable, set the run limit with you, and check real billed usage at 24 hours rather than at the end of the month.

How is this different from the Prospecting Agent Kickstart?

Customer Agent handles customer-facing service conversations and is usually already in your portal, so this is an activation service. Prospecting Agent researches leads and drafts sales outreach, and that engagement includes standing up Sales Hub Pro. Different audiences, different safeguards, different credit events.

Do you guarantee a deflection rate?

No. We get one use case live, tested, and measured in days. Deflection depends on your content, your volume, and the questions your customers actually ask, so we show you what the agent does rather than promise a number.

Selling as well as serving? See the Prospecting Agent Kickstart, or every agent we activate and what each one consumes on HubSpot agent activation.
