HubSpot managed operations, senior team on retainer.
Most managed-services agencies put junior consultants on retainer accounts. We don't. Every retainer is staffed with senior team, billed on a fixed monthly fee, with a clear scope of what's covered and what's not. Most retainers run 12+ months because the team that built it stays on the team that runs it.
Retainers that compound year over year.
Four real managed-ops engagements. Each card links to the full case study with the scope, cadence, and outcomes over time.

Retainer transitioned to internal admin
IPS Group used the retainer for 9 months, then transitioned to internal admin with us as escalation. Clean handoff.
When a retainer with us fits, and when it truly doesn't.
We've turned down retainers when the fit was wrong. Below is the honest read.
Right fit when
- You don't have a dedicated HubSpot admin and don't want to hire one full-time.
- Your team needs net-new builds 1 to 4 times per quarter, not just maintenance.
- You value senior team on every ticket, not a junior consultant + escalation path.
- You want continuity. The team that built the platform stays on the team that runs it.
- Strategic optimization (not just admin) is part of what you want from the retainer.
Wrong fit when
- You only need 5 hours a month of admin work. We're not the most cost-efficient option for tiny scopes.
- You have a strong internal admin team and only need occasional consulting on tough problems.
- You're early-stage and would benefit more from a fractional admin contractor at a lower hourly rate.
- Your scope is unbounded and unpredictable. We work best with a defined retainer scope and clear escalation paths.
What our retainer actually covers.
Retainers are scoped, not unlimited. Below is the typical structure across the three retainer tiers we offer.
Admin and maintenance
Day-to-day admin, hygiene, monthly reporting cadence, ongoing optimization. Best for teams that want HubSpot stable and improving incrementally.
Build and tune
Everything in Growth plus 1 to 2 net-new builds per quarter. Best for teams that have continuous use cases coming through and need senior team capacity.
Senior advisory
Everything in Build plus quarterly strategy sessions, custom development, AI-extension actions, integrations. Best for teams treating HubSpot as their core RevOps platform.
From kickoff to 12-month retainer that compounds.
Six steps. Same approach used on every retainer above. Built to make the partner relationship feel like an extension of the internal team, not a vendor on the other side of a ticket queue.
Scope
Two sessions with leadership and ops admin. What's covered, what's not, what triggers a change order, what triggers escalation. Scope written down. You sign off.
Cadence
Weekly 30-min standup with the retainer pod. Monthly business review with retainer lead. Quarterly strategy session with senior team. Always-on Slack channel for async work.
Tickets
Standard tickets handled in Slack. Larger work scoped via a quick-spec doc. Net-new builds get a separate sprint plan with timelines. Always senior team on every ticket.
Reporting
Monthly retainer report with what was delivered, what's in flight, what's escalated. No surprise overruns. Time tracked transparently.
Optimize
Quarterly strategy session reviews adoption metrics, data quality trends, automation health. We propose 3 to 5 high-leverage tweaks per quarter beyond the ticketed work.
Renew
Retainer renewals reviewed at month 11. Scope adjusted, pricing held flat unless scope grows materially. Most retainers renew because the team values the continuity.

Monthly. Tier-aware. Senior team always.
Retainers start at $2,000/month and scale with scope across our Growth, Build, and Strategic tiers. Each tier is fixed-fee, scoped on a 30-minute call and locked in the proposal. Minimum commitment is 6 to 12 months depending on tier. License costs are separate, paid directly to HubSpot at partner-discount rates.
Things people ask.
What's the difference between Growth, Build, and Strategic tiers?+
Growth is admin and maintenance. Build adds 1 to 2 net-new use cases per quarter. Strategic adds senior advisory, custom development, AI-extension actions, and integrations. Most teams start at Build tier post-implementation and move to Strategic as their HubSpot use deepens.
Can we change tier mid-engagement?+
Yes. We typically recommend tier changes at month 3 once we see the actual workload pattern. Up-tiers happen at the next month boundary. Down-tiers happen at the next renewal boundary unless there's a material scope change.
What's covered vs not covered?+
Covered: ongoing admin, maintenance, ticketed work, ongoing optimization, monthly reporting cadence. Not covered without scope expansion: multi-week net-new implementations, custom training programs, large data migrations, dedicated AI agent builds. Anything outside scope gets a quick-spec doc and add-on pricing.
Who's on the retainer pod?+
Senior team. Typically a senior consultant as retainer lead, plus solution architects and senior engineers as needed for specific tickets. We don't put junior consultants on retainer accounts. The team that built your platform stays on the team that runs it.
Do you offer dedicated retainer staff?+
Yes on Strategic tier. Dedicated solution architect for 50% to 100% of their time. Most teams under $10M ARR don't need this. Teams over $50M ARR often do.
Can we use the retainer for migration projects?+
Migration projects are scoped separately because they're time-bounded and need different staffing. We can absorb a small migration into a retainer if it fits the monthly scope. Larger migrations get a fixed-fee project price.
What if we want to bring HubSpot in-house?+
Great. We've helped 30+ customers transition from retainer to internal admin. We document everything, train the new admin, and stay on as escalation for the first 60 to 90 days. Clean handoff.
How do we get started?+
Book a 30-minute strategy call. We'll cover your scope, current platform state, and the right retainer tier. Proposal within 48 hours if we're a fit.
