When Ruli.AI outgrew its CRM, INSIDEA migrated the team from Attio to HubSpot Sales Hub Professional and built an AI-powered revenue engine with five native and third-party agents orchestrated through HubSpot for prospecting, enrichment, support, and outbound from day one.

The Challenge

By early 2026, Ruli.AI was managing 13,500+ contacts with zero CRM automation. Deals lived in spreadsheets, follow-ups in people's heads, and leadership had no visibility into the pipeline. With outbound scaling to hundreds of contacts per month, the team was losing 5 to 8 hours per week per person to manual tracking instead of selling.

Attio lacked workflow automation, AI capabilities, and native reporting, gaps that did not matter at 1,000 contacts but became critical at scale.

The strategic call was to deploy an agentic architecture inside HubSpot Sales Hub Professional, making HubSpot the orchestration layer and single source of truth. Three principles guided every decision: consolidate to orchestrate, agents live at go-live rather than weeks after migration, and the best agent for each job rather than a single tool forced to do everything.

The architecture runs as a continuous loop. Apollo AI and the Breeze Data Agent build and maintain a clean, enriched database of 50,000+ company records. The Breeze Prospecting Agent and Artisan use that database to target real, qualified accounts. As contacts and deals advance, 26 HubSpot workflows automatically trigger the next action: onboarding emails, pilot timelines, and deal reminders. The Breeze Customer Agent handles inbound and post-sale queries without rep intervention. Breeze Copilot helps reps act on what agents surface, all within the same HubSpot record. Reps approve high-judgment actions in one click.

The CLOC Outreach Sequence enrolled 487 contacts and delivered a 2.46% reply rate and a 1.23% meeting rate. Across all 16 sequences, 700+ contacts are enrolled and advancing. The Breeze Data Agent enriched 50,000+ company records at go-live. Leadership gained a live pipeline view for the first time: 132 active deals tracked in real time. The team reached 85 to 90% active adoption in week one. For a sales team of five, that is an estimated 25 to 40 hours per week returned to selling.

HubSpot AI in Action

INSIDEA built the agentic layer on HubSpot's native Breeze suite and extended it with two third-party agents that integrate directly with HubSpot data.
