Running SEO, Paid Media and Lifecycle Email Inside HubSpot: The Stack and the Reporting

Most companies buy SEO, paid media and email from three agencies and then spend the monthly review reconciling three reports. The alternative is one team working from one CRM. This post covers what that changes, what HubSpot does in each channel, and where it stops. If you have not chosen a CRM yet, the first and last sections apply to any platform.

Every HubSpot fact below comes from HubSpot's knowledge base, read on 2 October 2026, with each article's last-updated date. Where we could not confirm something, we say so.

What does one team change compared with three specialist agencies?

Three things: the brief, the data model and the report. One team works from one plan and one definition of a lead, and every channel writes its source onto the same contact and deal. Three agencies each report from their own platform, so the same customer is claimed three times and nobody owns the gap between a click and revenue.

  • One brief. The search terms that convert in paid tell the SEO team what to write next. The pages that rank become retargeting audiences. The email programme picks up the leads both channels produce.
  • One data model. A lead, a qualified lead and a customer mean the same thing in every channel, because all three read one lifecycle stage property in the CRM.
  • One report. Pipeline and revenue by channel, read from the CRM, in place of clicks from the ad platform, sessions from analytics and opens from the email tool.

None of this needs HubSpot. It needs one system of record that every channel writes to. HubSpot is the one we know best, so the rest of this post uses it.

Which parts of SEO, paid media and lifecycle email does HubSpot do itself?

HubSpot covers on-page SEO recommendations and Search Console data, ad tracking, audiences and conversion events for three ad networks, and lifecycle email through workflows. It does not replace a crawler, a link index, the ad platforms' own bidding and creative tools, or a store-native email tool for high-volume e-commerce.

Two things we could not confirm. The SEO article does not describe keyword rank tracking against competitors or a backlink index, so plan for a dedicated SEO tool if you need either. The ads articles name three networks only; we did not confirm whether any other network connects natively.

The subscription matters. The SEO tool and the Search Console integration need Marketing Hub or Content Hub Professional or Enterprise. Workflows (25 September 2026) need a Professional or Enterprise subscription. Only marketing contacts can receive marketing email or sit in a contact segment ad audience, and only marketing contacts count toward your contact tier.

How do the three channels feed one report?

Through three HubSpot objects. Campaigns group the assets from every channel under one name, budget and goal. Lifecycle stages record how far each contact has moved. Attribution reports credit the interactions that came before a contact, a deal or revenue. The ad platforms then receive the stage changes back as conversion events.

What each one does, per HubSpot:

  • Campaigns. Marketing Hub Professional and Enterprise. An asset belongs to one campaign at a time; only workflows and lists can sit in several. Source: Create campaigns, 29 September 2026.
  • Lifecycle stages. Eight default stages from Subscriber to Customer, Evangelist and Other. Automatic updates only move a stage forward. Source: Use lifecycle stages, 17 July 2026.
  • Attribution. Contact Create Attribution is available on Professional. Deal Create and Deal Revenue Attribution are Marketing Hub Enterprise only. The models are First Touch, Last Touch, Linear, Time Decay and Empirical. Source: Create attribution reports, 18 August 2026.

A worked example. A B2B company runs Google, LinkedIn and Meta ads and wants each network to optimise on three stages: Lead, Marketing Qualified Lead and Customer. That is 3 stages on 3 networks, so 9 conversion events. HubSpot allows up to 5 on Marketing Hub Starter, 50 on Professional and 100 on Enterprise, so Starter is not enough. How long before the reporting is trustworthy?

Longer than the setup. HubSpot only attributes ad clicks made after auto tracking is switched on, and only counts lifecycle stage changes made after a conversion event is created. So lead source data is reliable from day one forward, and revenue by channel is reliable once deals created after that day have had time to close.

Three clocks run at once:

  • Tracking. Starts the day it is switched on. Nothing is backfilled, so switch it on before you redesign anything.
  • The build. On INSIDEA's paid media page, weeks 1 to 3 are audit and strategy, attribution is wired in HubSpot and dashboards are built in weeks 4 to 6, and weeks 7 to 12 are tuning.
  • The channel. Paid shows a signal within weeks. Our SEO page says first articles rank within 60 to 120 days and material traffic lift takes 6 to 9 months.

If your sales cycle is 90 days, expect the first revenue report you can defend about one sales cycle after tracking went live. That last point is our reasoning from the two HubSpot rules above, not a HubSpot statement.

What does it cost, and who does the work?

Three costs: the HubSpot subscription, the agency fee and the ad spend. Ad spend is separate and paid directly to the platform on your own account.

Those terms are on the growth marketing page. We have not quoted HubSpot's list prices here because we did not re-read them for this post; the tier you need follows from the table above. If revenue attribution by deal is the goal, budget for Marketing Hub Enterprise.

Who does the work, as that page describes it: certified experts named on the engagement, a weekly working session with your leadership, and quarterly planning and reforecast. Which agencies run SEO, paid media and lifecycle email under one team?

Several do, and the homepage claim is cheap, so check how they report. INSIDEA publishes this post and runs all three on one attribution layer. Others whose own sites describe the mix, read on 2 October 2026: SmartBug Media, Mason Interactive and Markacy. We have not worked with any of them.

  • SmartBug Media describes itself as a full service HubSpot agency and a HubSpot Elite Partner, and lists paid media and SEO among its HubSpot solutions.
  • Mason Interactive describes paid media, creative production, SEO and lifecycle marketing for e-commerce brands and higher education, from Brooklyn, New York.
  • Markacy lists paid media, marketing analytics, and CRM and lifecycle marketing. We did not find SEO named on its homepage.

Ask each the same three questions. Which system is the record of truth for a lead? Who fixes the CRM when a campaign exposes a problem in it? Will the monthly report show pipeline and revenue from the CRM, or clicks from each platform?

When are separate specialists the better choice?

When depth in one channel matters more than the join between them. If one channel carries most of your revenue, a specialist in that channel will usually out-execute a generalist team. The same holds when the goal is brand reach, or when a regulated category needs an agency that works in nothing else.

Cases where we would say so on a call, each taken from our own service pages:

  • Paid spend under $10,000 a month. The paid media page says the engagement fee will not make sense at that volume.
  • A list under 1,000. The email and lifecycle page calls lifecycle automation overkill at that size.
  • Brand awareness is the only goal. A brand-focused agency is the better fit.
  • Your buyer does not search. If they buy on referral or tender, SEO is the wrong investment.
  • Heavily regulated consumer categories. Our pricing page says we have less coverage in alcohol, gambling and supplements.

A mixed model also works. The paid media page notes that we sometimes run one platform while a specialist agency runs another, provided scope and accountability are written down.

Can HubSpot replace my SEO tools?

Not fully. HubSpot scans a domain and lists on-page recommendations, and with the Google Search Console integration it shows average position, impressions, clicks and top queries. HubSpot's own article says it can no longer accurately retrieve inbound link URLs and that the scan reads HTML only, so keep Search Console and a crawler.

Which ad networks does the HubSpot ads tool track?

HubSpot's ad tracking article, last updated 29 September 2026, names Google Ads, Facebook and Instagram Ads, and LinkedIn Ads. It also says YouTube ads and LinkedIn message, thought leader and document ads cannot be tracked to a contact. We did not confirm native support for any other network.

Do I need Marketing Hub Enterprise for attribution?

For revenue, yes. HubSpot's attribution article, last updated 18 August 2026, says Contact Create Attribution is available with Marketing Hub or Content Hub Professional, while Deal Create Attribution and Deal Revenue Attribution are for Marketing Hub Enterprise accounts only.

When should lifecycle email run in Klaviyo and not HubSpot?

When the messages are triggered by shopping behaviour at volume, such as cart abandonment and post-purchase flows for a consumer store. HubSpot suits B2B and complex lifecycle email tied to sales stages. Hybrid businesses often run both, with a written rule for which system sends which message.

Is ad spend included in an agency retainer?

At INSIDEA, no. The growth marketing page states that ad spend is separate and paid directly to the platform on your own account, and the paid media page states there is no markup on media. Ask any agency the same question, because a markup rewards spending more.
